User Manual

Role-based guide to run the full candidate pipeline from intake to final decision.

5-Minute Quick Start

Sign in with your company email at /login.
Open Dashboard to view your role-specific queue.
Use Candidates to search, filter, and open candidate records.
Complete actions in tab order: HR Screening -> Manager Review -> SMO Decision.
Check Notifications for approvals, reminders, and system updates.

Candidate Lifecycle

Standard path for every candidate record in the system.

1. Resume Intake

HR uploads a resume from Upload Resume or Documents. Candidate profile is created or updated.

2. HR Screening

HR reviews eligibility, records notes/outcome, and assigns a hiring manager when ready.

3. Manager Review

Manager submits scorecard and recommendation. Candidate can be escalated to SMO.

4. SMO Interview Log

SMO/HR/Admin can paste or upload interview chat log for AI extraction and summary.

5. Final Decision

SMO records final decision (Approved, Rejected, KIV) and closes the workflow.

6. Audit and Documents

All changes are traceable in Audit. Every versioned document remains available for review.

How The System Works By Role

Follow these role-specific sequences to keep workflow throughput and quality high.

HR

  1. 1.Open Dashboard and clear today's intake queue.
  2. 2.Upload resume from Upload Resume or Documents tab.
  3. 3.Complete HR Screening notes and outcome.
  4. 4.Assign hiring manager for eligible candidates.
  5. 5.Move candidate forward and verify status change in Candidates board.

Hands off to MANAGER once HR screening is completed and manager is assigned.

MANAGER

  1. 1.Open Dashboard and review pending scorecards.
  2. 2.Open candidate Manager Review tab.
  3. 3.Score required criteria and add recommendation rationale.
  4. 4.Submit review and confirm queue count decreases.
  5. 5.Escalate to SMO when candidate is ready for final decision.

Hands off to SMO when recommendation and scorecard are submitted.

SMO

  1. 1.Open Dashboard to review final-decision queue.
  2. 2.Use SMO Interview tab to paste/upload interview chat log.
  3. 3.Review AI summary and key points for consistency.
  4. 4.Open SMO Decision tab and finalize Approved, Rejected, or KIV.
  5. 5.Confirm final status and audit entry are recorded.

Hands off to completed pipeline with audit trace and final outcome.

ADMIN

  1. 1.Process access requests and assign least-privilege roles.
  2. 2.Maintain users, permissions, templates, and org settings.
  3. 3.Monitor audit, notification pipelines, and system health endpoints.
  4. 4.Review failed outbox or delivery issues and trigger retries.
  5. 5.Keep operational standards and compliance checks current.

Supports all roles continuously through governance and reliability controls.

Troubleshooting

Upload area not visible in SMO Interview tab

Confirm role resolution using /api/auth/me and candidate viewerRole. Re-login if role is stale.

Cannot move candidate to next stage

Verify mandatory fields are complete in the current tab and save/submit action succeeded.

Missing notifications

Open Notifications page and confirm your email/notification settings in Settings.

Upload valid PDF/DOC/DOCX/TXT and wait for processing. Re-analyze from Overview if needed.
